You don’t need to ask everything at once.
But knowing the answers — and having non-standard arrangements reflected in writing — gives you confidence before you commit.

These questions help you understand how the venue runs a wedding day from start to finish.

  • What are the minimum and maximum guest numbers?

  • Is the venue exclusive, or will other weddings or events take place on the same day?

  • What is the wet-weather backup plan, and when must that decision be made?

  • Is ceremony seating provided? Are chair covers included?

  • What furnishings are available (table, candles, lanterns)?

  • Are there restrictions on décor, naked flames, confetti, sparklers, or fireworks?

  • How much access time is allowed for setup?

  • What are the earliest and latest ceremony start times?

  • Is a PA system and microphone available, including outdoors?

  • Are preferential room rates available for guests?

  • Are complimentary rooms or upgrades included for the couple?

  • How many rooms are held, and until when?

  • Standard check-in and check-out times — any flexibility?

  • Is the bridal suite suitable for hair and makeup?

  • Are family rooms and cots available?

  • Is the bridal suite available the night before, or only on the wedding night?

  • If a room change is required, who moves luggage and when?

  • What time must rooms be vacated on the wedding morning?

 

Morning-Of Preparation

  • What time can preparation spaces be accessed?

  • Is there sufficient light, mirrors, seating, and power for hair and makeup?

  • Are additional rooms available if the wedding party is large?

  • Is early breakfast or room service available?

  • Who is the main contact at the venue that morning?

Bridesmaids & Wedding Party Logistics

  • Where does the wedding party gather on the morning of the wedding?

  • How and when do they move to the ceremony space?

  • Who coordinates timing if the ceremony is not in the main function room?

  • Where can personal items, coats, bags, and bouquets be stored securely?
